Duplicate your master invoice to create and send new invoices
If you’re working on a small freelance job
Invoice your client when the work is complete. This is pretty standard practice for short-term gigs that last up to a month – especially if you’re working on an hourly or daily rate. Sometimes it’s difficult to know exactly how long a job will take. So by waiting until the work is delivered, you can be sure that you’re invoicing for the right amount.
If you’re working for a client on a long-term basis
Invoice your client monthly. If the work for your client is running for at least a couple of months, it’s a good idea to invoice them on a monthly basis. Every contractor has horror stories of clients who take forever to pay (or don’t pay at all). So if you’re getting into a long-term relationship with a client, agree on a regular invoicing schedule to make sure you get paid on time.
If you need to buy materials to complete the work
Invoice your client for at least part of the work upfront. This is especially important for anyone in the trades who needs to buy materials like timber or concrete blocks. Once your business is established and you have plenty in the pot, you may choose to cover these costs as a gesture of goodwill to your clients. But until then, don’t be afraid to invoice for your costs upfront.
If you’re working for a company you don’t fully trust
Invoice for all or part of your work upfront. One of the downsides of working for yourself is that once in a while, you come across a bad egg. So if you’re in any way concerned that a company won’t pay up, invoice them for all or part of your work before you get started. But if they aren’t willing to play ball, it’s probably a good idea to walk away.
